Role Summary
- Manage and maintain executive schedules, planning meetings, and travel arrangements.
- Act as the primary contact for internal and external communications on behalf of executives.
- Provide administrative support, including document drafting and research.
- Organize and prioritize documents and communications for executives.
- Coordinate meetings, prepare agendas, and ensure executives are well-prepared.
- Assist with confidential project support and manage sensitive information discreetly.
Role Requirements
- Proven experience as an Executive Assistant, preferably in a startup or with C-suite executives.
- Exceptional communication, organization, and multitasking skills.
- Adaptable and quick learner in a fast-paced, remote work environment.
- Proficient with technology and software like Slack, Google Workspace, and Microsoft Office Suite.
- Possess event management experience and a high level of discretion.

About the role:
As an Executive Assistant at ZOE, you will be responsible for providing comprehensive administrative support to senior leadership, assisting in daily office management tasks, and ensuring smooth operations within the executive suite. The ideal candidate must possess exceptional organisational skills, impeccable attention to detail, and the ability to prioritise tasks effectively.

Calendar Management: Manage and maintain executives' schedules, including arranging appointments, meetings, and conferences. Coordinate travel arrangements and accommodations as needed. Communication: Serve as the primary point of contact for internal and external communications on behalf of the executives. Handle emails, and correspondence with professionalism and discretion. Administrative Support: Provide administrative support such as drafting documents, preparing presentations, and conducting research as requested. Assist with the preparation of reports and presentations for meetings. Information Management: Maintain accurate records and files, including confidential information. Organise and prioritise incoming documents, emails, and other communications for timely response. Meeting Coordination: Coordinate and schedule meetings, prepare agendas, and take minutes when necessary. Ensure that executives are well-prepared for meetings with relevant materials and information. Confidentiality: Handle sensitive information with the utmost confidentiality and discretion. Maintain a high level of professionalism in all interactions and communications. You're an experienced Executive Assistant with relevant C-suite and startup experience. Excellent communication and interpersonal skills, with the ability to interact effectively with executives, colleagues, and external stakeholders. You've supported more than one individual at a time, excelling at organising multiple people, managing workload and juggling conflicting priorities/expectations effectively - you love to make people’s working lives easier. You're helpful, proactive, approachable, and adaptable detail-orientated multitasker and problem solver. You're comfortable with ambiguity with the ability to adapt and learn quickly in a fast-paced environment. You're confident with remote working, comfortable with technology and associated tools (Slack, Google Workspace, Notion, PandaDoc, Zoom etc). Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications. You have some event management experience including corporate and social events. High level of discretion and confidentiality when handling sensitive information.These are the ideal skills, attributes, and experience we’re looking for in this role.
