  • Provide comprehensive administrative support to the CEO, ensuring efficient management of schedules, meetings, and communications.
  • Build and maintain relationships with key stakeholders, communicating important updates and decisions.

WHAT WE NEED

We’re seeking an Executive Assistant, working directly with our CEO, who has exceptional organisational ability, great written and verbal communication skills, and a proactive mindset to support our London-based CEO on a full-time basis. Working closely with the CEO and engaging across departments, you will be responsible for managing daily schedules and task lists, coordinating high-priority meetings, and handling confidential information with professionalism. Additionally, you will assist on travel planning, email copywriting and proofreading, and liaising with internal and external stakeholders.

Key responsibilities:

  • Executive support: Providing day-to-day support to the CEO, including managing schedules, coordinating meetings, and handling confidential communications. Key tasks include:
  • Organising and prioritising the CEO’s calendar to ensure efficient time management
  • Preparing meeting agendas, taking notes, and tracking action items
  • Filtering and responding to high-priority communications on behalf of the CEO
  • Stakeholder liaison: Acting as a trusted representative of the CEO in interactions with internal and external stakeholders. Responsibilities include:
  • Building and maintaining strong relationships with department leads and external partners
  • Communicating key updates and decisions to relevant stakeholders
  • Managing follow-ups and ensuring stakeholders are aligned with the CEO's objectives
  • Administrative efficiency & optimisation: Streamlining administrative processes to support the CEO’s effectiveness and overall business efficiency. Responsibilities include:
  • Improving tools and processes to improve information flow and communication
  • Anticipating the CEO’s needs and proactively addressing potential challenges
  • Special Projects: Assisting with high-impact projects aligned with the CEO's priorities, for example:
  • Supporting project planning and tracking progress to ensure alignment with timelines
  • Conducting preliminary research and preparing reports to inform decision-making

The main skills we’re looking for are:

  • Exceptional organisational skills and attention to detail
  • Proactive problem-solving and adaptability
  • Excellent written communication and interpersonal skills
  • Project management capability

We think you’ll probably have:

  • 2-4 years of experience in an executive support role (e.g., as an Executive Assistant, Chief of Staff, or in a similar role supporting C-level executives).
  • Experience working in a high-growth startup or dynamic environment where adaptability and multitasking are key to success.
  • A proven ability to manage complex projects and handle confidential information with discretion and professionalism.
  • A proactive, hands-on approach with a willingness to tackle new challenges and make a meaningful impact within the organisation.
  • Strong interpersonal skills and experience liaising with diverse stakeholders, both internal and external, across various levels.
